How to Prepare to Run a Tax Claim in The Raiser’s Edge
The tax claim in Raiser’s Edge is run through Reports, Gift Aid Reports, Generate R68 (New Gift Aid) report.
We strongly advise that the Update Gift Aid Status is run once, prior to running your claim or multiple claims if running retrospective claims.
This is an option available in the Admin menu in the Raiser’s Edge navigation bar.
This option will check all unclaimed gifts where the gift type is Cash, Pay-Cash (pledge payments) or Recurring Gift Pay-Cash (recurring gift payments) to see if they are eligible for gift aid claim.
It will check these gifts against the Gift Aid Rules setup in Config, Business Rules to see if they are qualified for Gift Aid and if there is an active declaration for the date of the gift.

While you do not need to review the Gift Aid Rules every time you are getting ready to run a claim, if you are adding new Campaigns, Funds, Appeals, Packages or anything else in Raiser’s Edge which has a listing in Gift Aid Rules, then you should also consider if related gifts should be disqualified for Gift Aid. If so, then the Gift Aid Rules should be updated.
If the rules are updated, you will be automatically prompted to run the Update Gift Aid Status.
If you do not need to change the rules, then the Update Gift Aid Status should still be run manually prior to running your tax claim.
We suggest that the Update Gift Aid Status is run for All records and the default Date to use is left unchanged. If you want to run this for a specific date range for the claim you are about to make, then the Date to use can be changed accordingly.
The Raiser’s Edge knows that if the date of a gift is outside the time limit, the Gift Aid Status on the gift should be set as Not Qualified, where the reason will show as Time Limit has expired for claiming tax.

We suggest that you tick the box to Include gifts already posted to the Nominal Ledger if you use the Post to NL to update the status on the Miscellaneous tab of the gift from Not Posted to Posted.
We also suggest that the Filters and Attributes tab remain unchanged so the option is run for all relevant gifts rather than for a small subset of gifts, as this could result in gifts being missed from a claim because the Gift Aid information is not up-to-date.
See the post Just What Do the Options on the Tax Tab of a Gift in The Raiser’s Edge Actually Do? for more information on how the eligibility is shown on a gift.
