Tip for using Gift Batch Templates in The Raiser’s Edge

Have you ever created an awesome gift batch template only to have another user muck it up with real gifts because they thought they needed to actually open the template in order to use it? Here’s a tip – the simple solution is to uncheck the “Other users may access this batch” checkbox on the Gift Batch Setup window.

By doing this, only the user who created the batch template and users with supervisor rights will be able to open the batch. The saved template batch will still appear on the list of saved batches; however, other non-supervisor users will not be able to open it from there. Any user with Batch user rights (supervisor or not) WILL be able to use the “load from existing batch” function. This allows them to load the template fields into a new gift batch, even though they don’t have rights to open the template directly. This ensures that users cannot enter gifts into your original gift batch template, yet can still “load from existing batch” to pull the fields from the template into the batch that they’re working on.

Even if this has happened to you and gifts were entered in your batch template, you should still be able to load the fields from that original batch to use again or to create a clean new template.
